Problem Statement
Fuel site operators were managing their network through a patchwork of spreadsheets, emails, and disconnected tools. Site details lived in one file, employee records in another, brand and supplier information nowhere consistent and reporting meant manually compiling data from all of it, every time.

Defining Problem Statement
Operators weren't asking for more dashboards. They wanted one place to keep site data accurate and turn it into a report someone could act on without rebuilding it every time. Instead of digitising individual spreadsheets, I redesigned how operational data flows between site records, reports, and the people who need them.
Research
Rather than starting with screens, I first mapped how site data actually moved from an operations team updating a site record, to a report being built from that data, to a regional manager reviewing it weeks later.
This surfaced where records went stale, where reporting broke down, and where new users got stuck without guidance.

Operations teams don't need more places to enter data.
They need one accurate record per site and a reporting system that doesn't have to be rebuilt every time.
Opportunity mapping
After mapping how data moved from site records to finished reports, I identified where digital structure would remove the most repetitive work.
Rather than digitising every spreadsheet as-is, I focused on reducing duplicate entry, making reporting reusable, and giving new users a way to learn the system without hand-holding.
Information architecture
Ventra isn't a single flat tool, it's a role-based system where each user sees only what's relevant to their responsibilities.
The same system adapts responsively for operations staff working from a desktop and field staff checking site details from a phone.
Design system
With multiple roles, dozens of master data types, and hundreds of possible report configurations, consistency was essential.
A shared design system ensured that every interaction from adding a site to scheduling a report felt familiar regardless of module.
